To add data to a report, record the activity or outcomes it measures, then choose a reporting period, filters, and grouping that include those records.

What this gets you

  • Reports based on your team’s recorded recruiting, outreach, and fee activity.
  • A clear way to resolve an empty report without mistaking missing data for a zero result.

Steps

  1. Open the report and select How to add data when it shows No recorded data in this period or Report unavailable for this selection, or in a goal’s Goal progress section when progress is unavailable. The popup explains how to prepare data for the selected measure, period, and filters.
  2. Add or complete the source records for the measure you selected:
    • Recruiting: assign candidates to a job, then record their pipeline progress, including submissions, offers, and confirmed placements with their dates.
    • Fees: review the fee amount and currency on each placement. Job fee terms apply to future placements; review existing placement fees separately. Fee editing requires an owner or admin. Confirmed placements prepare draft invoices according to your billing defaults. Review and issue a draft in Invoices before it counts as invoiced revenue or an outstanding balance. Issue & mark as sent confirms external sending without sending an email. Paid revenue requires a separately recorded payment for money actually received; partial payments are supported.
    • Deals: record stages, expected values, currencies, and won or lost outcomes for the measures you need.
    • Outreach: set up a sequence, add contacts, and allow it to run. Reports use recorded sends, replies, and other activity.
    • Captured task completions: open Calendar, create a new task or call, then mark it as completed. Include its completion date in the goal or report period. Tasks created before task reporting was available, meetings, and skipped tasks are excluded. Allow time for reporting to update, then refresh the goal or report.
  3. Set the report’s period to include the dates used by the selected measure. For example, a placement measure uses the hire date rather than the date the contact was created.
  4. Review filters for jobs, recruiters, clients, and other attributes. Broaden or remove filters that exclude the records you expect.
  5. Review Show by and Split by. Choose attributes supported by the selected measure, or remove grouping to review totals.
  6. Refresh the report after saving the source records or changing its setup.
  7. On a dashboard card or saved/custom report, select Show records to inspect its source records using the report’s period and filters. The list includes inputs used for rates, calculated values, and data coverage. Open linked records to review their details; use Load more records for additional results.

Tips

  • In Invoices, owners and admins can edit records through the row’s three-dot menu. Use Manual overwrite with a reason to correct a mistaken stage or recorded balance; Activity retains the previous values. Remove invoice excludes the invoice and its receipts from reports until restored from Removed. It does not change the placement’s booked fee.
  • Use Placement actions to record actual starts, cancellations, assignment completion or early ends. A genuine hire that falls through remains in hire history. Delete placement reverses a mistaken hire and retains its audit trail; it does not refund an issued invoice.
  • Set each report’s default timeframe and users when creating or editing it. Dashboard cards show that saved timeframe when no Period filter is active. Select Period or User on a dashboard to temporarily replace those defaults across its reports; clear either filter to restore each report’s corresponding default. Agency-only measures such as opening counts and first-Job fill time retain agency scope and show that the User filter does not apply. Ordinary members cannot view agency-only measures. These dashboard selections do not change the saved reports.
  • If you have no dashboards yet, open Reports, select Create your first reporting dashboard, choose a template, and select Create dashboard. Agency Overview is recommended and selected initially. Browsing templates creates nothing; only the template you confirm is saved. Use New dashboard in the switcher to create another.
  • A missing value is different from a recorded zero. An empty breakdown cannot establish a zero total.
  • Jobs: Performance uses jobs created in the selected period. Choose Number of jobs, Number of candidates, Average days to fill, or Sum of hiring targets. Filter by owner, status, company, title, location, experience, commitment, tags, creator, job, target, or recorded creation/opening/fill dates. Use Group by and Segment by to compare current job attributes. Calendar grouping supports day, week, month, quarter, and year. Unknown opening or fill history remains unknown.
  • To configure an older saved report with the native job-performance options, edit it and explicitly choose Jobs: Performance in Subject, then review its filters and select Save report. Changing the subject starts a new draft configuration; saved reports keep their definitions until saved.
  • Choose Job as the entity and Stage reach as the subject. Compare candidates, recorded activities, total days or median days using ordered volume bars, line, pie, number or table. Activities include stage moves and audited qualification and recruitment outcome changes. Distinct controls repeated count visits. Segment by the recorder, job, activity type, job tag, company, candidate source, candidate owner, job owner or person type. Person types include Candidate, Contact and Contractor from explicit current relationships. Ratio presets select stage pairs; custom filters also support workflow stages, logged dates and linked schedule dates. Durations use stored completed intervals; missing history stays unavailable. Stage-to-hire rate remains a separate question with a different denominator.
  • Time to fill in Agency Overview averages calendar days from job creation to its first confirmed hire. The period selects the fill date, so jobs created earlier can qualify. Each job counts once, regardless of headcount or later hires. Missing or invalid dates are excluded; same-day fills count as zero days. Pipeline stages and planned start dates do not establish a fill.
  • A report can show a known subtotal while explaining which records lack data. Complete those source records to improve coverage.
  • Currently qualified opportunities counts only open deals currently in Qualified. Moving a deal to any other stage removes it from the count and Show records. This current snapshot uses current recruiter, client, and source filters; selected dates do not change it.
  • Stage reach in Agency Overview combines jobs through Entered, Screened, Outbound, Submitted, Interview, Offer and Hired. Dates select pipeline entries; later progress stays in that cohort. Actual attainment and inferred skipped stages are separate. Open Candidate progress, then select one job for its real custom stages and recorded visits. Missing history stays unknown; a stage named Hired does not prove a placement.
  • Stage-to-hire rate follows each stage’s recorded entrants to a subsequent confirmed placement hire, including hires after the selected period through the report run date. Its denominator is that stage’s entrants. Intermediate steps are not required, void placements do not count, and recent cohorts may still be in progress.
  • Recruitment outcome funnel follows one acquisition cohort through acquired, submitted, interviewed, offered and hired milestones in recorded order. The date range selects acquisition; outcomes can happen later. Percentages show the share of the cohort and previous step.
  • If the report cannot load, use Retry. Adding records does not resolve a connection failure.
  • If a prepared source is unavailable, prepare or refresh that source before retrying Show records. Missing source data is reported as unavailable rather than as an empty list.

Ideas to get more from it

  • Start with a wider period and fewer filters, then narrow the report once results appear.
  • Choose Revenue by date to compare booked placement fees by month over the past year. The chart highlights the best month and its share of recorded fees, with currencies kept separate. Change the period or granularity to explore other time ranges; booked fees are separate from payments received.
  • Choose Time to Fill from the report templates to save an independent report, filter by job or client, or show results by client or fill-date period. Reuse the saved report on your dashboards.
  • Choose Stage reach, Stage-to-hire rate or Recruitment outcome funnel from the report templates to create an independent report you can save and reuse on dashboards. Stage reach combines multiple pipelines through their shared categories and uses all eligible applications as its denominator. Select one job for its actual stages. Use Table for exact counts and Candidate progress for the separate milestone cohort, velocity and current stalled candidates.
  • Agree with your team which pipeline events and dates to record so reports stay consistent.
  • Review placement fees and currencies as part of confirming each hire. Job-order acceptance creates openings automatically, and a confirmed hire fills the oldest open opening. Add openings when the client requests more people; the additional demand is captured for reporting. Fee reports quantify how many records have complete monetary evidence. A missing fee stays unknown.
  • Event-period placement counts include retained hires even after their operational Job is deleted. Acquisition-cohort reports still need recorded candidate–Job entry history.
  • Select Summary to read one grouped totals table. Select Details to inspect the source records without changing the report definition.
