What this gets you
- You stay present in the conversation instead of typing notes.
- Notes written for the kind of meeting you had, such as a screening, an interview, or a client intake.
- Follow-up tasks and CRM updates suggested from what was actually said.
Steps
- Schedule the meeting from a candidate or client, as in How to schedule a meeting with a candidate, and keep AI Notetaker turned on.
- For a meeting that’s already running, open Meetings, choose Start recording, pick the meeting contact, and paste the Google Meet, Zoom, or Microsoft Teams link.
- Admit the notetaker when it asks to join the meeting.
- Once the transcript is ready, find the meeting in Meetings → Pending actions, open it, and choose the meeting type.
- Review the notes, then accept the suggested follow-up tasks and profile updates you want.
- If there are no outstanding follow-up decisions, expand the meeting card and choose Mark reviewed. The meeting moves to your Completed actions without clearing other reviewers’ queues.
Tips
- If the notetaker left early, choose Send bot again to start a new recording.
- Workgroup admins can choose automatic joining for each call source and select All, Custom, or None under Advanced in the workgroup’s AI Notetaker settings. Custom controls candidate, client, and other meetings separately. Admins can also exclude email domains or keywords.
- Use More meeting actions > Exclude from Jobin to keep a single meeting out without notifying guests.
Ideas to get more from it
- After an intake call, add the suggested job criteria straight to the job.
- Ask a question about the meeting, such as the candidate’s notice period, instead of scrolling the transcript.
- Use the candidate submission draft as the start of your write-up for the client.
