Contacts is your recruitment CRM: every candidate and prospect you’ve imported, sourced, or added. Open it from Contacts in the sidebar.

Watch the walkthrough

  1. Pick your view. Choose list or cards, and decide whether the details sidebar opens on select.
  2. Build a segment. Open the filter sidebar and add criteria such as role, location, tags, outreach history, or pipeline stage.
  3. Pin what you use daily. Pin your favorite filters, and check the active-filter summary to confirm what’s applied.
  4. Shape the table. Show the columns that matter, and save the layout as a named column preset to share with your team.
  5. Save the search so you can come back to the same segment. It’s a live filter, not a fixed list, so it always shows who matches today. Refresh the data first when freshness matters.
  6. Act on the selection. Select contacts and use the bulk actions: tag them, assign them to a job, start outreach, screen them, or export them.
  7. Return and refine. Use the outreach filters to find who replied, and who never got a message.

Two ways to view contacts

  • List view is a compact table that suits scanning and comparing many people.
  • Cards view is a more visual way to browse.
Choose which one Contacts opens in under Settings > Appearance > Default views. Your choice is saved to your account. See Your settings. You can also choose how a contact’s details open. Either the details sidebar opens as soon as you select a contact, or it opens only when you use the expand button.

Find the right contacts

Open the filter sidebar to build a segment. Useful ways to narrow the list:
  • Career criteria. Career level, career path, management level, employment type, job-seeking status, experience, company, and location.
  • Pasted lists and Boolean searches. Paste several keywords or role titles at once, or use comma-separated values. AND, OR, and NOT are recognized.
  • Recruiter notes. Search the text of notes, and narrow by the teammate who wrote them and a date range. The matching note appears next to the result.
  • Custom fields. Combine several custom-field conditions in one search, include or exclude each, and compare text, numbers, dates, and lists.
  • Last message. Include or exclude contacts by the date of their last message. Choose Any message or Replies only. Excluding the last 30 days, for example, keeps you from contacting someone twice. See Avoid double-messaging.
  • Outreach. Find contacts who have or haven’t received recorded outreach, or build a segment from a sequence’s stages, statuses (Pending, Failed, Replied, Completed), and reply outcomes.
  • Pipeline. When you view a recruitment pipeline, stage tabs above the list show the count in each stage.
  • Tags. Include or exclude contacts by tag.
Unsubscribed contacts are excluded from standard results by default, and labelled with an unsubscribe badge when you include them, so you don’t contact someone who opted out by accident. Make filtering faster. Pin the filters you use most to the sidebar, reorder the sidebar, and switch between grouped and flat layouts. Your sidebar preferences are saved per workspace, and you can copy a configuration between workspaces. The active-filter summary shows how many filters are in each category and lets you remove them one by one.

Saved searches

A saved search is a set of filters you reuse. Set your filters, then choose Save this search and give it a name. If the name already exists, Jobin asks before it overwrites the saved search. Open the saved-searches list to find a search by name, and pin the ones you use most so they sit one click away under the toolbar, in Pinned searches. Saved searches are shared with everyone in your workgroup, on Contacts, Accounts, Employers and Jobs alike, while your pins are your own. If you change the filters of a saved search you loaded, a dot next to its name shows it was edited, so you know to save it again. Clearing every filter leaves the saved search.
Pro tip: use dynamic talent pools instead of tags. Tags are rigid: a contact keeps a tag until someone changes it. Because you can refresh profile data at any time with Update profiles, your database is easy to keep current. So rather than building talent pools with tags, describe each pool by what it requires. Use a job pipeline’s Ideal Candidate Profile or a Saved Search to filter for everyone who matches. The filter adds contacts when they start to match and drops them when they no longer do.
A saved search is a dynamic talent pool. It isn’t a fixed list. Every time you open it, it runs against your current data, so the results always reflect who matches today.

Duplicates

Jobin finds duplicate contacts and merges them automatically. When two records disagree and it can’t decide, a banner asks you to resolve the conflicts. See Duplicates and merging.

Shape the table

  • Columns. Show, hide, reorder, and resize columns. Double-click a divider to restore the default width, and double-click a row to open the contact.
  • Optional columns. Add columns such as Current years and Total years of experience, Past job stage, outreach metrics (assigned, sent, opened, clicked, replied, bounced), and the contact’s stages across several pipelines.
  • Presets. Save a layout, including pinned columns, as a named column preset, and share it with your workspace. Admins manage shared presets.
  • Tags. The table shows the first two tags and a count of the rest; hover to see them all.

Work on many contacts at once

Select contacts to open the bulk action bar. From it you can:
  • Find and enrich contacts, or update their profiles. See Contact enrichment.
  • Assign contacts to a job, add tags, or update custom fields for the whole selection.
  • Start AI screening, or open Outreach to use a sequence or send a message.
  • Export contacts to a CSV file with exactly the profile, career, contact, and education fields you choose. You can also send them to Make.com.
  • Delete the selected contacts.
