Reports answer the questions an agency asks every week: how many candidates did we submit and place, how fast, from which source, for which client, and what did it earn. Open Reports from the sidebar. Every owner, admin, and member of the workgroup can open Reports, including the financial reports. Client Portal users can’t. All internal members can create reports and dashboards from the available templates. Templates with no supported reports are not offered yet. Members create the dashboard’s reports; owners and admins can also include its starter goals or leave them out.
  1. Start with the Overview. See recruitment activity and outcomes for the last 30 days at a glance.
  2. Pick the period and the reporting mode. Choose the dates, then decide whether you are counting events in the period or following a cohort. See Reporting modes.
  3. Narrow it down. Filter by recruiter, job, or candidate source.
  4. Open the report that answers your question. Recruiting performance, Jobs, Team, Sources, Outreach, Revenue & finance, Business development, or Clients.
  5. Open the records behind a number. Select a metric to see the candidates and jobs it counts.
  6. Save what you’ll reuse. Build a custom report, save it for yourself or your workgroup, and track it against a goal.

The reports

When your workgroup places contractors, the reports also cover contract staffing: active contractors, starts, finishers, extensions, approved billings and pay, gross profit and margin, utilization, redeployment, and receivables.

Reporting modes

  • Events in this period counts what happened between the dates you chose, for example every placement made in March.
  • Cohort follows a group that entered in the period, for example the candidates added in March and how many were later placed. Rate metrics such as placement rate and offer-to-placement rate use cohorts, so each rate compares like with like.
Business development also offers a Current snapshot of open opportunities.

Read the numbers correctly

  • Unavailable is not zero. When Jobin doesn’t have the data to measure a metric yet, it says so and explains why, instead of showing 0.
  • Partial history is flagged. A metric built on records with incomplete history is marked, so you know to read it with care.
  • Drill down. Select a count to open a page of the candidate-job records behind it, then open any contact or job.

Record revenue and opportunities

Revenue and business development reports use the records you keep in Jobin.
  • Invoice drafts. A confirmed placement with a client, booked fee and currency automatically prepares a draft invoice, according to your billing defaults. New manually recorded invoices also default to Draft. Review the fee and reference in Invoices before issuing. Drafts do not count as invoiced revenue, outstanding balances or overdue debt.
  • Sending and payment. Choose Issue & mark as sent to confirm an invoice sent outside Jobin. This records the sending date and optional provider or reference; it does not send an email or record a payment. Use Invoice options (three dots) to Issue without sending. An issued invoice then offers Mark as sent, and a sent invoice offers Record payment. Record only money actually received; partial payments are supported. Other financial actions, including cancellation with a reason, are available through Invoice options.
  • Corrections and removal. Owners and admins can use Invoice options → Edit invoice to correct references, due dates and amounts while preserving payment history. Amounts must cover existing receipts and credits. Use Manual overwrite for an exceptional stage or balance correction and enter a reason; Activity retains before-and-after values. Remove invoice hides the invoice and its financial contributions from reports without deleting its history. Restore it from Removed. Placement automation will not recreate a removed invoice.
  • Opportunities. In Business development, choose Record an opportunity to add a client opportunity with its owner, source, and expected value. Track it through to won or lost, with a loss reason.
Financial reporting may be restricted to the members your workgroup allows.

Build your own report

Open Report builder to answer a question the standard reports don’t.
  1. Choose a common report to start from, or start from scratch.
  2. Pick the metrics and the date meaning, such as records created in the period or events in the period.
  3. Break it down by date, recruiter, team, job, client, source, engagement type, employment type, placement type, opportunity status, currency, or contractor, and choose how to show it.
  4. Add a calculated metric if you need one: combine two metrics by adding, subtracting, multiplying, or dividing them, or as a percentage. Owners and admins manage calculated metrics for the workgroup.
  5. Save the report for Only me or for My workgroup. Open it again from Saved reports.

Goals and progress

Owners and admins can set a goal on a metric, with a target, a period, a scope, and a currency for financial goals. Everyone sees progress against the goal, and a leaderboard compares recruiters. Archiving a goal keeps its history.
