The Client Portal gives your clients a secure view of the jobs you’re filling for them. They review candidates, give structured feedback, and approve, while you stay in control of what they see.

Watch the walkthrough

The walkthrough covers pipeline sharing, candidate visibility, scorecard setup, approvals, bulk decisions, and report exports.

What clients can do

For each job shared with them, a client can:
  • Follow the pipeline. After signing in, a client sees their Active Jobs, and for each job, the candidates in the stages you share, on a pipeline board.
  • Evaluate candidates. Open a candidate, fill in the job’s scorecard, add an evaluation note, and approve or reject them directly.
  • Compare and approve. The Comparison & Approval view lists candidates in one table, ordered by total score. Approve or reject one by one, or use bulk actions for several at once. Candidates awaiting a decision show as Pending Approval.
  • See progress. Review an aggregate progress report for the job.
  • Export a report. Download the evaluations as PDF, Excel, or PowerPoint.
  • Ask for follow-ups. When you allow it, create tasks for recruiters from a candidate’s profile.

What happens when a client decides

Approving or rejecting moves the candidate for you. An approved candidate goes to the stage you chose for approvals, and a rejected one to the stage you chose for rejections, so the pipeline stays in step with the decision. If the rejection stage isn’t set, the client sees a message asking them to contact the job’s admin. Set both stages in the control panel (see below).

Scorecards

A scorecard defines how candidates are judged for a job. In the Scorecard Builder, you:
  • Pick criteria from a preset library, or add your own, and describe what each one evaluates.
  • Weight each one by importance: Critical (9-10), High Priority (7-8), Standard (5-6), or Low Priority (1-4).
  • Preview the scorecard before you save it.
Clients then score candidates in Candidate Evaluation, and use Comparison & Approval to compare everyone side by side and export the evaluations. Who builds the scorecard is up to you: you can build it, or give the client or a hiring manager the Manage scorecard permission to do it. Each person needs the Compile scorecard permission to fill it in.

Control what clients see

Clients only see what you allow, set per job.
  • Candidate details. Choose individual profile details, such as experience, education, skills, compensation, availability, and work preferences. Candidate identity and contact information are controlled separately from professional background, so you can keep a candidate’s name, contact details, and employers anonymous until a later stage.
  • Documents and notes. Resumes and CVs stay hidden until you enable them. Share all notes, or only the notes you’ve explicitly shared. Choose whether clients see message content and attachments, and the activity history.
  • AI and recruiter content. Control AI screening scores and explanations, scorecards, recruiter notes, and documents separately.
  • Tags and scorecards. Decide whether clients can view and manage recruiter tags, and set scorecard permissions independently.
  • Presets. Save visibility settings as reusable presets, and choose the default preset for future portals.
To share a note with clients, set it to shared when you create it on the contact.

Set up a portal for a job

Each job has its own Client Portal Control Panel. Open Portal management from Jobs > Client portals, or More > Portals, choose the job, and set these up. Then choose Save All Changes.
  • Clients. Under Add clients to give access, either Invite New Client by email or choose a client already in your workgroup. Remove a client’s access at any time.
  • Pipeline stages. Choose which stages Show in Client Portal. A candidate in a stage that isn’t shown leaves the client’s view.
  • Client approval. Pick one review stage where clients approve or reject candidates, and where approved and rejected candidates move afterwards. Leave it off and clients can view candidates but not approve or reject them.
  • Client permissions. Choose what clients can do: Assign tasks (create tasks from candidate profiles), Manage tags, Manage scorecard (create, edit, or delete the job’s criteria), and Compile scorecard (complete ratings and comments).
  • Candidate visibility. Open Configure visibility to choose what candidate information is shown, or start from a visibility preset.
  • Scorecard. Set the default criteria clients score against.

Manage your portals

The Portal management table lists your jobs with their client accounts and any custom scorecard. Search by job title or client email. When an engagement ends, remove a client’s access, or delete the job’s client portal configuration.
  1. Prepare the job. Create the job and give it the stages your client should see. See Job pipelines.
  2. Open the control panel. Go to Jobs > Client portals, and open the job.
  3. Add the client. Invite them by email, or pick an existing workgroup client.
  4. Choose the stages they see. Show the stages where you want feedback, and hide internal ones.
  5. Set the approval stage. Decide where clients approve or reject, and where those candidates go next.
  6. Set visibility and permissions. Pick a visibility preset, then adjust. Keep resumes, notes, and contact details hidden until you’re ready to share them.
  7. Build the scorecard. Pick criteria from the library, weight them, and preview.
  8. Save All Changes, then move candidates into the visible stages.
  9. Follow the feedback. Watch evaluations and approvals arrive, compare candidates in Comparison & Approval, and use the progress report in your next client update. If your client prefers a static handoff, export the evaluations as PDF, Excel, or PowerPoint.
  10. Close out. When the engagement ends, remove client access.
