# Tags and custom fields

> Organize your CRM with tags, and store your own structured data on contacts with reusable custom fields.

Tags and custom fields are how you make Jobin match your own recruiting process. Tags label contacts quickly. Custom fields hold
structured data you can filter on.

## Recommended workflow

1. **Decide what you will filter by.** Use tags for quick, deliberate labels, and custom fields for structured values such as a salary range or notice period. For talent pools that should stay current on their own, use a [Saved Search](/contacts.md#saved-searches) or a job's [Ideal Candidate Profile](/job-pipelines.md#ideal-candidate-profile-icp) instead.
2. **Create the custom fields.** Choose each field's type and, for lists, its options, from a profile or **More** > **Workspace** > **Custom fields**.
3. **Apply them in bulk.** Select contacts and add tags, or set custom-field values for the whole selection.
4. **Collect them automatically.** Link job application questions to custom fields, so applicants fill them in for you.
5. **Filter on them.** Combine tags and several custom fields in one [Contacts](/contacts.md) search, and save it.
6. **Keep it tidy.** Reorder tags, purge unused ones, and export the library when you need a record.

## Tags

> [!TIP]
>
> **Pro tip: use dynamic talent pools instead of tags.** Tags are rigid: a contact keeps a tag until someone changes it. Because you can refresh profile data at any
> time with [**Update profiles**](/contact-enrichment.md#refresh-profile-data), your database is easy to keep current. So rather than building talent pools with tags, describe each pool by what it requires. Use a job
> pipeline's [**Ideal Candidate Profile**](/job-pipelines.md#ideal-candidate-profile-icp) or a [**Saved Search**](/contacts.md#saved-searches) to filter for everyone who matches. The filter adds
> contacts when they start to match and drops them when they no longer do.

Use tags to group contacts, such as by skill, source, or relationship. Tags are shared across your workgroup.

* **Tag in bulk.** Select contacts, or sourced profiles, and apply several tags in one action. Search the available tags, create new ones on
the spot, and review the changes before you apply them.
* **See tags at a glance.** In the Contacts table, the first two tags show with a count of the rest.
* **Filter by tag** in [Contacts](/contacts.md), [AI Search](/ai-search.md), the [Inbox](/inbox.md), and when you screen candidates.

### Manage your tag library

Open **More** > **Workspace** > **Tags** to manage tags for the workgroup.

* Search for tags and delete the ones you no longer need.
* Reorder tags by dragging them, or use **Move to top**.
* Choose where newly created tags are placed in your tag order.
* **Purge unused tags** to clean up tags nothing uses.
* Export the complete tag library to a CSV file, with tag names, how many contacts use each, and when it was created and last updated.

## Custom fields

A custom field is a reusable field you define once and use on any contact. Field types include text, number, date, list, and range.

### Create and assign a field

From a contact profile, open the **Custom Fields** tab. Search for an existing field and assign it, or create a new one. When you create a
field you choose its type and, for lists, its options, and for numbers or ranges, its limits. You can have Jobin enforce a minimum,
maximum, and step so saved values stay inside the range. Changes save automatically, with visible status.

Manage the full set of fields under **More** > **Workspace** > **Custom fields**, where you can search, edit, and delete fields and jump to
the contacts that use one (**See in Contacts list**).

### Use custom fields

* **Update many contacts at once.** Choose several field-and-value pairs and apply them to every selected contact. You see how many will be updated first.
* **Filter on them.** Combine several custom-field conditions in one Contacts search, and include or exclude each one.
* **Jump to matches.** Select a field on a profile to open Contacts with that field already applied as a filter.
* **Collect them from applications.** Link a career portal application question to a custom field, so applicants' answers become structured
CRM data. See [Create and edit a job](/job-builder.md).
* **Use them in messages.** Insert custom data into messages with smart fields. Type **@** in the message composer to search for fields.
* **Use them in the browser extension.** View, assign, create, and edit the same custom fields from the Jobin browser extension while you review a contact.
