# Deals and sales pipelines

> Track client opportunities from first conversation to signed agreement, forecast what they are worth, and hand won deals over to jobs.

A **deal** is a commercial opportunity with a client: a search mandate you are pitching for, a new hiring partnership, or more work
from an existing account. Open **Deals** in the sidebar, under **Sales**, to see every deal on a board by stage.

## Recommended workflow

1. **Create a sales pipeline.** Start from a template and adjust its stages, win probability, and inactivity alerts.
2. **Add deals.** Create a deal for a client account, or create deals for many client contacts at once.
3. **Add the people.** Add the stakeholders on the client side and give each one a role.
4. **Work the deal.** Log notes, schedule tasks and client meetings, and drag the deal through the stages.
5. **Keep it moving.** Watch for deals that have had no activity for too long.
6. **Record the outcome.** Mark the deal won or lost, with a reason when it's lost.
7. **Hand it over.** Link the won deal to an existing job, or create the job, so recruiting starts from the agreed terms.
8. **Measure.** Follow the forecast on the board, and use the business development reports to see what your pipeline produces.

## Sales pipelines

Each deal belongs to a **sales pipeline**. Choose **Create pipeline** in the Deals header and start from a template:

| Template | Stages |
| - | - |
| **Sales pipeline** | Discovery, Qualified, Proposal, Negotiation |
| **Executive search** | Initial conversation, Brief confirmed, Search proposal, Terms agreed |
| **Account development** | Prospect, Contact made, Needs identified, Agreement sent |

Every pipeline ends with **Won** and **Lost**. In the pipeline editor you can rename, add, reorder, and remove stages, set a
**win probability** for each stage, and set an **inactivity alert**: the number of days without recorded activity after which a deal
in that stage is flagged. Use **Edit pipeline** to change an existing one. Switch between pipelines with the pipeline selector next to
the page title.

## Browse your deals

* **Kanban** shows one column per stage. Drag a deal to move it. Closed deals reopen only through **Reopen Deal**, so a stray drag can't
  undo an outcome.
* **Table View** lists deals with sorting and column controls.
* **Filters** narrow deals by client account, owner, stage, tags, source, expected value, currency, closing date, and next task. Save the
combinations you reuse as personal **saved views**.
* **Search** finds deals by title.

Next to the page title, the **estimate** shows the open value weighted by each deal's win probability, out of the full open value, and
the **won** counter shows the deals you closed. Both follow the current pipeline, search, and filters. Choose the won counter to open
the won deals.

A card turns red when the deal has had no recorded activity for longer than its stage's inactivity alert. Only real activity, such as a
note, a task, or a stage move, resets the timer. Closed deals never go stale.

## Create deals

* **One deal.** Choose **New Deal** in the Deals header, or **Add to deal** from a contact. Describe the opportunity, choose the client
account and pipeline, and add the forecast: **Expected value**, **Currency**, **Win probability**, and **Estimated close date**. Add
the people involved and any private notes.
* **Many deals at once.** In the **Client Contacts** list in [Contacts](https://docs.jobin.cloud/contacts.md), select contacts and choose **Add to deal** in the
action bar. Jobin prepares one deal per contact, with their account and a generated name, and you review the pipeline, stage, value,
and close date before creating them. Use **Add to existing deal** to add the selected people to a deal you already have instead. In
[Accounts](https://docs.jobin.cloud/accounts.md), select companies and choose **Create deals** to open one deal per account.

## The deal page

Open a deal from the board or the table. The deal opens in a sidebar, and its name opens the full page.

* **Overview.** Stage, expected value, win probability, estimated close, primary owner, primary stakeholder, linked jobs, and last
  activity.
* **Stakeholders.** The client-side people on the deal, each with a role: **Hiring manager**, **Economic buyer**, **TA/HR**,
  **Procurement**, **Champion**, **Stakeholder**, or **Other**.
* **Activity.** Internal notes, tasks, and system events in one timeline, with filters for each. Add a note or a task from the composer.
The deal's next task shows as a countdown, even when it has no deadline.
* **Tags.** Label deals and filter the board by tag.
* **Meetings.** Client meetings you schedule can be associated with a deal, so AI preparation and meeting notes have the commercial
  context. See [Meetings](https://docs.jobin.cloud/meetings.md).

To change several deals at once, select them and use **Bulk edit**. For each field, choose to keep the current value, set a new value,
or clear it, for example to move deals to a new stage or reassign owners.

## Outcomes and job handoff

Use **Record Deal outcome** on the deal:

* **Mark won** closes the deal as won.
* **Mark lost** asks for a loss reason: **No response**, **Not interested**, **No hiring needs**, **Recruits in house**,
**Committed to another agency**, **Fees not agreed**, **Lost to competitor**, or **Other**. You can add details and name the
  competitor.
* **Record vacancy received** logs that the client sent you a vacancy, even before the deal closes.
* **Reopen Deal** reopens a closed deal.

Under **Job handoff**, choose **Link existing Job** for a job already assigned to the deal's client account, or **Create internal Job**
to open the role from the deal. Linked jobs show on the deal's overview.

## Deals on contacts and accounts

* A client contact's profile has a **Deals** tab that lists every deal they take part in, with its pipeline, stage, and inactivity alert.
* An account's **Goal** tab lists its deals next to its jobs. See [Accounts](https://docs.jobin.cloud/accounts.md).
* The **Client Contacts** list in [Contacts](https://docs.jobin.cloud/contacts.md) can filter by whether a contact has deals, and by deal stage.

## Reporting

The **Business development** reports measure the pipeline: opportunity outcomes, win and loss rates, loss reasons, expected pipeline
value, and a current snapshot of open opportunities. Won deals that become jobs carry on into the recruiting and revenue reports. See
[Reports](https://docs.jobin.cloud/reports.md).
